EVENT & EXHIBIT LOGISTICS
Trade show freight shipping for move-in and move-out.
Trade show shipments have a hard deadline and a receiving process unlike a typical warehouse delivery. Exhibits, displays, demo equipment and support materials need a plan for both arriving and leaving the venue.
A freight plan that fits the shipment
2A Logistics helps exhibitors and their logistics teams coordinate ground freight around event schedules, warehouse receiving, paperwork and post-show pickup. Give us the show manual and the actual delivery instructions—not only the convention center address.
Common reasons shippers use this service
Exhibit booths and crates
Arrange transportation for packed booth structures, graphics, promotional materials and reusable crates with clear counts and dimensions.
Demonstration machinery
Coordinate packaged demo units and industrial displays that may need special loading, securement or appointment arrangements.
Post-show returns
Plan the return destination, carrier pickup process and any site-specific release paperwork before the event ends.
Details that make a difference
Advance warehouse versus direct-to-show
Some events use an advance warehouse and distinct receiving windows. Verify location, labels, deadlines and fees with the organizer.
Material handling rules
Convention centers or official contractors may control dock access, unloading, marshaling yards and move-out release processes.
Return-shipment readiness
Know when crates are repacked, whether storage is available and who will provide an outbound bill of lading or release authorization.
What to include in your quote request
Sending complete shipment details helps us evaluate appropriate capacity and avoids unnecessary back-and-forth. Include as much of the following as you have:
- Show name, venue and exhibitor/booth information
- Advance warehouse or direct delivery instructions
- Move-in deadline, target pickup and move-out windows
- Number of cases, pallets or crates, sizes and weights
- Material handling and site contact details
- Return destination and paperwork requirements
Have an unusual requirement or incomplete specifications? Explain what you know, and we’ll work through the outstanding details with you.
Frequently asked questions
Should freight go to the advance warehouse?
It depends on the event and its rules. Review the exhibitor manual, receiving windows and costs before choosing the destination.
Can the same shipment be returned after the show?
Yes, a return plan can be evaluated, but it needs its own pickup information, receiving instructions and timing.
Does trucking include drayage at the convention center?
Not automatically. Event material handling or drayage charges may be administered separately by the venue or official contractor.
